HOTEL TERMS OF ACCOMMODATION
Scope of Agreement
Article 1
1.Any and all agreements entered into by and between Henn-na Hotel (hereinafter referred to as “Hotel”) and guests and other agreements in relation thereto shall be governed by this regulation, and any matters not stipulated herein shall be governed by laws and generally established customs.
2.Notwithstanding the preceding paragraph, in case Hotel accepts any special provisions to the extent not contrary to laws or customs, the special provisions shall prevail.
Application for Lodging Agreement
Article 2
1. A person who desires to apply for lodging in the Hotel shall be required to provide the Hotel with the following information:
(1)Name of guests;
(2)Date of lodging and estimated arrival time;
(3)Lodging fee (As a general rule, the basic hotel charges set forth in Appendix 1);
(4)In case of only minors’accommodation need to submit a consent form signed by their guardian.
2. For those who applied for accommodation, when our hotel ask for the name, address and telephone number of the accommodators, they should submit these information in time even after signing the accommodation contral
3.The hotel may call you to confirm the booking on any day before the scheduled day
Concluding of Lodging Agreement
Article 3
1.A lodging agreement shall come into effect when the Hotel approves the application set forth in the preceding Article; provided, however, that this shall not apply if the Hotel proves not having approved the application.
2.When a lodging agreement has been entered into according to the preceding paragraph, the applicant shall pay an application fee designated by the Hotel to the extent of basic hotel charges equivalent to the lodging period (three days should the period exceed three days) by the date designated by the Hotel.
3.The application fee shall be allocated first to the lodging charges to be paid finally by the guest, and then if any situation on which the provisions of Article 6 and Article 17 should apply occurs, it shall be allocated to the penalty charge and then to the compensation in this order, and the remaining amount, if any, shall be paid back at the time of payment pursuant to the provisions of Article 12.
4.In cases where the applicant fails to pay the application fee set forth in paragraph 2 by the day designated by the Hotel, the lodging agreement shall become invalid; provided, however, that this shall apply only to the case when the Hotel has notified the applicant of such rule.
Special Provision not Requiring Payment of Application Fee
Article 4
1.Notwithstanding paragraph 2 of the previous article, the Hotel may accept a special provision in which payment of the application fee of the same paragraph is not required after entering into a lodging agreement.
2.On accepting the application for lodging agreement, should the Hotel not request payment or designate a date of payment for the application fee as set forth in paragraph 2 of the preceding article, the special provision as set forth in the previous paragraph will be handled as accepted.
Rejection of Concluding Lodging Agreement
Article 5
Hotel may reject the application for concluding a lodging agreement in cases falling under any of the following events:
(1)When the application does not conform to this regulation;
(2)When the Hotel cannot afford to accept the application due to lack of a vacant room;
(3)When one who intends to lodge in the Hotel is considered to be likely to commit any activities against laws, or public order or moral;
(4)The accommodators who is suppose to stay in the hotel puts forward unreasonable complaints and demands, he / she is deemed to be in danger of disturbing the stable order of the hotel.
(5)When one who intends to lodge in the Hotel falls under any of the following items:
- (a)An organized crime group designated in the item 2 of Article 2 of the Act on the Prevention of Unjust Acts by Organized Crime Group Members (Effective on March 1, 1992) When designated gangs and designated gang members stipulated in the Act on Prevention of Unfair Acts by Gangsters, etc., or Related Persons, Associate Members of Gangsters, or Other Anti-Social Forces
- (b)A juridical person or other body whose business activities are controlled by an Organized Crime Group Member; or
- (c)juridical person any of whose executive officer is an Organized Crime Group Member.
- (d)Anti-social groups, anti-social group members and related persons.
(6)When one who intends to lodge in the Hotel is likely to cause nuisance to other guests;
(7)When one who intends to lodge in the Hotel is expressly considered to be infected with any infectious disease.
(8)When a person who wants to stay in the room makes a nuisance to other guests due to singing, fighting, etc. during the stay.
(9)When a person who intends to stay is clearly deemed to have no payment capacity.
(10)When a person who intends to stay is deemed to be suspicious of behavior.
(11)When one who intends to lodge in the Hotel makes a violent demand or demands a burden beyond the reasonable range to Hotel or employees thereof;
(12)When the Hotel is unable to lodge the guest due to unavoidable reasons, including, but not limited to natural disaster and malfunction of facilities;
(13)When falling under Prefectural Ordinance Article # (Item #).
(14)When a person applying for lodging has applied for the purpose of his / her commercial purpose.
Termination Right of Guest
Article 6
1.A guest may terminate a lodging agreement by notice to Hotel.
2.In cases where a guest terminates a lodging agreement in whole or in part due to reasons attributable to the guest (excluding when the guest has terminated the lodging agreement prior to the payment date of the application fee that has been designated by the Hotel as set forth in Article 3 paragraph 2), he/she shall pay a penalty charge set forth in Appendix 2. However, in a case in which the Hotel has accepted a special provision in which payment of application fee is not required as set forth in Article 4 paragraph 1, payment responsibility for the penalty charge applied when the guest terminates the lodging agreement shall apply only when the Hotel has notified the guest of such rule.
Hotel strictly enforce guests over the age of 5 years old wearing masks as all times in all puclic areas of the hotel except each accommodation rooms.If the guest does not wear a mask, hotel will refuse to conculude an accommodation agreement and impose a fine.
3.In cases where a guest fails to arrive at the Hotel by the afternoon hours of the date of lodging 24:00(if an estimated arrival time is clearly specified, at the number of hours after the specified arrival time), the Hotel may consider that the lodging agreement is terminated by the guest and handle it as such.
Termination Right of Hotel
Article 7
1.In cases falling under any of the following events, Hotel shall be entitled to terminate the lodging agreement:
(1) When the guest is considered to be likely to commit any activities against laws, or public order or moral, or when the guest is considered to have committed said activities;
(2) When guests are deemed to be disturbing the peaceful order in the hotel, for example, complaining complaints and requests without reasonable reason in the hotel
(3) When the guest falls under any of the following items:
(a) Organized Crime Group, Organized Crime Group Member, an associate member of Organized Crime Group, person involved in Organized Crime Group or other antisocial forces;
(b) A juridical person or other body whose business activities are controlled by an Organized Crime Group Member; or
(c) A juridical person any of whose executive officer is an Organized Crime Group Member.
(4) When one who intends to lodge in Hotel is likely to cause nuisance to other guests
(5) When one who intends to lodge in Hotel is considered affected with any infectious disease.
(6) When the guest makes a violent demand or demands any burden beyond the reasonable range to Hotel or employees thereof;
(7) When Hotel is not able to lodge the guest due to reasons resulted from any cause beyond its control, including, but not limited to natural disaster;
(8) When one falls under Prefectural Ordinance Article # (Item #).
(9)The person who moking at outside designated areas, naughty for fire fighting equipment, or does not comply with the any other prohibition of “Usage Rules” specified by this clause.
(10) When one who intends to lodge in the Hotel fails to comply with rules on use established by the Hotel or commits any activities that interfere with fire prevention, including, but not limited to smoking in room or other nonsmoking areas, tampering with fire-fighting equipment, etc.;
2.When the hotel cancels the accommodation agreement based on the provision of the preceding paragraph, the reason for the cancellation in the case set in Item VII of the preceding paragraph, and the fee of the lodging service the guest has not received shall be refunded. In other reasons of the cancellation, including the fee of the accommodation service not yet provided will not be refunded as a penalty.
Registration of Lodging
Article 8
- 1.A guest shall complete registration of the following matters at the front reception desk on the day of arrival :
- (1)Name, Address and telephone number
- (2)In the case of a foreigner, nationality, passport number, Immigration and occupation
- (3)Passport verification and copying or scan data
- (4)Any other matters that the Hotel considers necessary.
- 2.In cases where a guest desires to make payment under Article 12 by means of traveler’s check, hotel voucher, credit card or others to be substituted for money, he/she shall show it in advance at the registration set forth in the preceding paragraph.
Utility Time of Guest Room
Article 9
- 1.The time period in which a guest can make use of a guest room shall be from 3:00 p.m. in the afternoon to 10:00 a.m. of the following morning. However, when the guest stays on consecutive days, he/she may make use of the room throughout an entire day except on arrival day and departure day:
- 2.Notwithstanding the preceding paragraph, the Hotel may accept usage of the guest room during the time period other than those set forth in the preceding paragraph. In this case, additional charge as set forth below shall be charged:
- (1)Late check out is available until 2 pm. The additional charge is ¥ 1,000 per person per hour.
- (2)After 2 p.m., apart from the additional charges mentioned above, one night’s accommodation on check-out day will be added.
- (3)Early check-in will be counted for hours started before 3pm. Additional charge will be 1,000 yen per person per hour.
- ※You will be charged for the number of the people of using the bed.
- ※Depending on the situation of the day, we may not be able to accept the request.
Compliance of Usage Rules
Article 10
Please follow the “Usage Rules” defined in the Terms and Conditions by the Hotel and posted in the premises of the Hotel.
Payment of Charges
Article 11
- 1.Details and calculation method of the lodging charges or others to be paid by the guest shall be as set forth in Appendix 1.
- 2.The responsibilities of our hotel will begin when the guests registered the hotel at the front and will be end at the time the guests complete the checkout procedure.
- 3.The guest shall pay the full amount of the room charge even when the guest voluntarily forgoes staying after the guest room becomes available by provision of the Hotel.
Liability of Hotel
Article 12
- 1.When, on performance by Hotel of lodging agreements and other agreement in relation thereto, any default by Hotel causes damage to the guest, Hotel shall compensate the guest for such damage; provided, however, that this shall not apply if said damage is caused by reasons not attributable to Hotel.
- 2.The responsibilities of our hotel will begin when the guests registered the hotel at the front and will be end at the time the guests complete the checkout procedure.
- 3.Hotel has an insurance policy in the hotel general liability insurance in order to deal with possible fire disaster or others.
Treatment in case of inability of provision of guest room on which lodging agreement has been made
Article 13
- 1.The hotel will not keep items such as cash, valuables, fine arts, antiques, broken matter, liquid, raw, pets, etc.
- 2.If the goods left at the front desk are damaged, lost, damaged, etc., unless it is force majeure, The hotel will compensate for the damage. However, if the hotel asks for a clear declaration of the type and value, and if the guest does not do it, the hotel will compensate for the damage up to 30,000 yen.
- 3.Scratches and dents on baggage left by guests in robot cloakrooms, coin lockers and lobby are not covered by warranty.
Treatment of Deposited Goods
Article 14
- 1.The hotel will not keep items such as cash, valuables, fine arts, antiques, broken matter, liquid, raw, pets, etc.
- 2.If the goods left at the front desk are damaged, lost, damaged, etc., unless it is force majeure, The hotel will compensate for the damage. However, if the hotel asks for a clear declaration of the type and value, and if the guest does not do it, the hotel will compensate for the damage up to 30,000 yen.
- 3.Scratches and dents on baggage left by guests in robot cloakrooms, coin lockers and lobby are not covered by warranty.
Custody of Guest’s Baggage and Belongings
Article 15
- 1.In case of arrival of guest’s baggage before lodging, Hotel shall responsibly keep it in custody and hand over it at the reception desk on the guest’s check in only if Hotel has approve it before arrival thereof.
- 2.If, when a guest left baggage and belongings behind after check out, its owner is known to Hotel, Hotel shall notify the guest of it and follow instruction; provided, however, that in case the guest gives no instruction or its owner is known to Hotel, Hotel shall keep it in custody for a month (including discovery date).
- (1)Cash and valuables: we will send them to the nearest police station after store them for 7 days, including the date of discovery.
- (2) Fresh groceries: Regardless of price or expiration date, it will be disposed of on the same day as the date of discovery
- (3) Other objects: It will be disposed of after being stored at our hotel for 3 months including the date of discovery. (Based on the Lost Goods Law.)
- 3.To perform appropriate processing according to the nature of the contents, the hotel may confirm the contents of the forgotten baggage or portals, and may return to the owner if necessary or carry out the processing in accordance with the preceding paragraph, and the guests may not state their objection .
- 4.With respect to responsibility of Hotel for custody of guest’s baggage and belongings in the cases set forth in the preceding two paragraphs, the provisions of paragraph 1 of Article 13 shall apply to the case of paragraph 1, and the provisions of paragraph 2 of Article 13 shall apply to the case of paragraph 2, with necessary modification.
Liability on Car Park
Article 16
When the guests use the parking lot of the hotel, if the guests intentionally or negligently damages the hotel, they will be charged with the compensation.
Liability of Guest
Article 17
- 1.In case the Hotel suffers any damage caused on intentionally or by negligence on the part of a guest, the guest shall compensate the Hotel for the damage.
- 2.In order to receive the accommodation service based on the accommodation agreement smoothly, if you recognize that the accommodation service that is different from the content of the accommodation contract has provided, the hotel must promptly offer it to the hotel.
- Since smoking is prohibited in all facilities (except designated smoking places), in the case smoking is confirmed in the guest rooms or facilities, the cleaning fee for smoking and the room sales sale stop of the guest rooms shall be compensated in accordance with Item 3 of the Schedule.※If butts are found in the guest room, it is considered a smoking act.
Disclaimer
Article 19
The guests are responsible for the use of computer communications in this hotel. The hotel is not responsible for any damage to users caused by service interruption due to system failure or other reasons during the use of computer communication. In addition, if our company deems user has improper behavior in the use of computer communication, if the damage occurs to the hotel or a third party, the guests will be compensated for the damage.
Denial of continued use
Article 20
The hotel may refuse to continue using the service in the following cases.
- (1)When it is found that there is any unfavorable act for the hotel or is likely to act.
- (2)When the guests violate this agreement (including the case our hotel determines that there is a risk of violating).
Jurisdictional Judgement
Article 21
Disputes over accommodation contracts between our hotel and the guestsshall be governed by the exclusive agreement of the jurisdiction court, based on Japanese law, where the head office of the party sued is located

- 1.Percentage (%) set forth above is rate of penalty charges.
- 2.In case of reservation of consecutive lodging, when the reservation is cancelled in part, penalty shall be charged for one night according to Appendix 2, regardless of the number of cancelled days. Penalty rate based on the cancelled first lodging date shall apply.
- 3.In case of cancellation of reservation for multiple guests in whole or in part, Penalty rate based on the number of applicants shall apply, regardless of the number of cancelled guests or the number of lodgers.
- 4. If a group of guests (10 or more) have a special separately signed accommodation contract and clearly stated the penalty, it will be equivalent to the separately signed contract.
- 5. The penalty may vary depending on the accommodation plan.

(Note) The number of days of guest room sales will be the number of days that sales are actually withheld at the discretion of the hotel. However, the upper limit is 10 days.
Usage rules
In order to ensure the safety and comfortable use of our hotel, we would asking the guests to cooperate with us in accordance with Article 10 of the accommodation clause. If you cannot follow these rules, we would refuse the guests to use the hotel facilities in the hotel in accordance with Article 7, paragraph 1 of the accommodation clause.
■ About safety and disaster prevention
(1)When you are out of the room during your stay, please check the lock (the room is automatically locked).
(2)Please confirm the refuge route map from the guest room inside the door of each guest room.
(3)Please refrain from meeting with visitors in the guest room.
(4)Do not use the room for any purpose other than accommodation without permission.
(5)If you are staying under 18 years old, you must submit a written consent form.
(6)Please do not use appliances that generate heat such as heating and cooking in the guest room and irons other than those specified by the hotel.
(7)No smoking in the rooms and lobby. Please do not smoke outside the designated smoking area in the hotel.
(8)Please do not use fireworks, incense, incense sticks, candles, or other items that may cause a fire, or items with a strong odor.
■ About valuables
Please use the in-room safety deposit box to store cash and valuables.
■ About the payment
Tickets such as airplanes, trains, sightseeing buses, taxis, postage stamps, and luggage delivery are not accepted.
■The following items are not allowed in the hotel facilities
(1)Pets such as animals. (Excluding assistance dogs)
Please inform us in advance of your visit to the assistance dog.
(2)Poisonous deleterious substances, hazardous toxic chemicals, and objects that emit a significant odor or smoke.
(3)Criminal composition such as firearms and swords, gambling equipment, and possession prohibited by law.
(4)Explosives, volatile oils, etc. that are easy to explode, ignite, or ignite.
(5)Noise-generating object.
(6)Any other property that threatens the safety of other guests.
■The following acts are not allowed in the hotel facilities
(1)Acts that touch punishment laws such as gambling and other behavioral disturbances.
(2)Acts of political activities, election activities, religious activities.
(3)Acts such as sales of goods, advertising, donations and signatures.
(4) Actions such as shooting and recording with any device such as cameras and videos for business purposes without permission.
(5)The act of bringing food to a restaurant and requesting and requesting cooking from an employee. (Regardless of paid or free)
(6)Acts that make noise in the facility, other acts that cause trouble or discomfort to others.
(7)Using room clothes and slippers outside the room.
(8)Other acts that hinder safety and hygiene within the hotel.
